COP Process
A COP deal goes through these steps. Each step is done from the Action column of the COP Stock List. You only see a step's button if your role can do that step.
Solid arrows are the normal path. Dotted arrows are the other ways a deal can go. A deal that is Booked, In Progress or Pending becomes Expired once its booking end date has passed (see below).
| Step | Permission | Deal status before | Deal status after |
|---|---|---|---|
| Create the COP stock | COP > Create | - | Booked |
| 1. Assign a runner | COP > Assign runner | Booked | In Progress |
| 2. Upload the photos | COP > Upload photos, and only the deal's runner | In Progress | In Progress, photos waiting for review |
| 3. Approve the photos | COP > Approve photos | In Progress | Pending |
| 4. Approve or reject the COP | COP > Close deal | Pending | Completed or Cancelled |
Every step also needs COP > View, to open the COP stock. The permissions are set in Role & Permission.
The people involved in the deal get a notification when it is their turn.
Finish the deal by its booking end date. If the deal is not completed or cancelled by the end of that day, it becomes Expired, and none of the steps can be done any more. The Remaining Days column on the COP Stock List shows how many days are left.
1. Assign a runner
- On a Booked row, click Assign Runner.
- The page shows the property details. In Internal Record, choose the Subsales Runner. Only active users with the Subsales Runner tag are listed.
- Click Submit, then Yes to confirm.
You see COP runner assigned successfully and the COP stock details open. The deal is now In Progress.
If you don't choose a runner, you see Please select a subsales runner. A runner can only be assigned once.
2. Upload the photos
Only the runner assigned to the deal can upload the photos.
- On an In Progress row, click Upload Image.
- In Property Photo, click the upload area and choose the photos. You can choose several at once. Each photo must be a JPG, PNG or WEBP file of up to 5MB.
- Add exactly 9 photos. The upload area shows how many you have, for example (6/9). Click the bin icon on a photo to remove it.
- Click Submit, then Yes to confirm.
You see COP photos uploaded successfully, waiting for review and return to the COP Stock List.
While the photos are waiting for review, the runner still sees Upload Image. Uploading again replaces the photos, and they wait for review again.
- If you have fewer than 9 photos, you see Minimum 9 images are required.
- If you try to add more than 9, you see Required 9 images for approval, and only the first ones up to 9 are added.
If the photos are rejected, the runner gets a notification with the reason. The reason is also shown in Photo Approval at the bottom of the Upload Image page. The runner replaces the photos and submits them again.
3. Approve the photos
- On an In Progress row whose photos are waiting for review, click Approve Photo.
- Check the photos in Property Photo. Click a photo to open it in a larger view.
- At the bottom, in Photo Approval:
- To approve: click Approve, then Yes. You see COP photos approved. The deal is now Pending. You stay on the page, and Approve COP and Reject COP appear at the top, so you can go straight on to step 4.
- To reject: type the Reason, then click Reject and Yes. You see COP photos rejected. The deal stays In Progress and goes back to the runner.
A reason is required to reject. Without one, you see Reason is required.
When the photos are approved, the runner's fee is created. It waits for approval on the Cop Commission tab of the Approval page.
4. Approve or reject the COP
On a Pending row, or at the top of its COP Stock Details:
- Approve COP: click it, then Yes. You see COP completed successfully. The deal is now Completed.
- Reject COP: click it, then Yes. You see COP cancelled successfully. The deal is now Cancelled.
When the COP is approved, the subsales caller's upfront bonus is created. It waits for approval on the Cop Commission tab of the Approval page.
Use a completed COP in a case
A Completed COP property can be used in a case with a COP product. When you create or edit the case, choose the property in the COP field.
Each COP property can only be in one case at a time. Once it is used in a case, it is no longer listed for other cases. If that case is dropped or rejected, the property is listed again.
